Privacy notice
What is kept about you when you look for a role, apply and get ready to join, who is responsible for it, how long it is kept, and how to ask about it.
Who is responsible for your details
Each company you apply to is responsible for your application: what you send it, your answers, your interviews and any offer. It decides how they are used to consider you, and its name is on every job post and on every page about your application.
We run this careers site for those companies.
Your careers account — your profile, the files you keep in it, your saved searches and your sign-ins — is kept by us, across every company.
If we ever hold contact details about you that we found ourselves, rather than ones you gave a company, we are responsible for those details, and you can ask us directly to stop using them, without needing to know which company found you.
The name and contact details of the business responsible for your account, and for any contact details we found ourselves, will be added here.
What is kept
- What you type when you apply: your name, email address, phone, where you live, your current job title and company, and your answers.
- The resume and documents you upload, to your account or with an application.
- What you agreed to, in the exact words you agreed to, which version of them, and when.
- Your sign-ins, with the browser or device, for as long as each sign-in lasts, and any passkeys you add.
- Your saved searches, and how often you asked us to email you about them.
- Where each application stands and everything that has happened on it, with when it happened and who did it.
- If you do an AI interview: its recording, what you said, written down, and when you started, stopped and picked up again.
- If you get an offer: your questions about it, and when you agreed to sign electronically and when you signed, with where you signed from and a fingerprint of the exact letter you read.
- If you join: the documents you send before your first day, and each policy you accept, with its version and when.
Cookies
Looking at roles sets no cookie and runs nobody else’s code.
When you sign in, a cookie keeps you signed in on this site. It goes when you sign out.
AI interviews
Some roles have a short interview run by AI. Before it starts, we tell you that it is run by AI and recorded, what it assesses, who sees it and how long it is kept. You agree or not as a step of its own.
You can talk to a person instead at any time, and you can answer with sound only, for your connection or for accessibility. Neither ever counts against you.
What you say is never added up into one number about you.
The company keeps the recording for 12 months, or for less if it chooses, but never less than 90 days. What you said, written down, is kept for 24 months.
How long things are kept
Each kind of record is deleted on a schedule, without anyone having to remember to do it. A legal hold pauses that schedule while it lasts.
- Interview recordings: 12 months, or less if the company chooses (never less than 90 days).
- What you said in interviews, written down, and the hiring team’s notes and assessments: 24 months.
- “Keep me on file”: for the months stated when you ticked it. Before that runs out we ask you again, and if you don’t say yes, you are removed.
- Messages sent to you: 24 months. Whether an email was delivered: 90 days.
- Offers, signed offer letters and the record of how they were approved and signed: 7 years.
- Identity documents you send before your first day: passed to the company for its employee records on your first day, then deleted here on the company’s schedule.
- A copy of your data you asked for: the link to it works once, for 7 days.
- Your careers account, profile and files: until you delete your account.
Your rights, and how to use them
You can ask for a copy of what is held about you, ask for it to be corrected, or ask for it to be deleted. For an application, the request goes to the company you applied to, and you are told it has been received within the time the law of that company’s country sets.
To send that request from this site, sign in and open Your account, then Your data.
Deleting your careers account removes your profile and the files you keep here straight away. Companies you applied to keep their own copy of what you sent them, under their own rules. To have a company delete its copy, ask that company.
When something is deleted at your request, only a scrambled marker is kept, so that you are never added again or contacted again.
An application that is still open is ended first, by a person, before it can be deleted. Withdrawing an application is not a request to delete it.
“Keep me on file” is always a separate question that is never ticked for you, and you can ask the company to stop at any time.
You can turn off job emails at any time in your account, under Alerts.
How to complain to a data protection authority will be added here.
